Odoo CRM, configured for how you actually operate
Brainvire configures Odoo CRM around the way your team already sells: your stages, your qualification rules, your quotation flow, and the mailboxes and forms that feed the pipeline. The forecast then comes out of the CRM, not a spreadsheet.
The customer relationship management application inside Odoo: leads, opportunities, pipeline stages, lead scoring, activities, quotations and reporting on one database.
Sales teams whose forecast is rebuilt by hand, or whose CRM does not know what the business shipped or invoiced.
Small implementations 8 to 12 weeks. Mid-market 12 to 24 weeks. Enterprise, multi-team rollouts 6 to 12 months.
An Odoo functional consultant, a technical consultant, a data lead and a solution architect, with your sales leader as counterpart.
/ Before you change anything
Does your pipeline look like any of this?
Patterns we see in teams whose forecast is assembled by hand.
The number is rebuilt every Monday
Stages mean different things to different reps, so the pipeline is re-scored by hand before anyone will present it.
New leads arrive and go quiet
Website forms, the shared mailbox and event lists land in three places. Nobody owns the first response.
Sales and delivery hold separate truths
A won deal is retyped elsewhere, so what was sold and what gets invoiced stop being one record.
Nobody trusts the pipeline total
Duplicates inflate it, closed-lost carries no reason, and win rate cannot be split by team or source.

/ The work itself
Odoo CRM customization: what does Brainvire actually change?
Odoo ships a working CRM. The value is in configuring its existing features around your business requirements, before any custom code is written.
| Odoo default | What Brainvire changes | Why it matters |
|---|---|---|
| The default stages: New, Qualified, Proposition, Won | Your own stages, each with a written exit criterion, and a separate pipeline per sales team | Two reps read the same board the same way |
| Leads off, so every inquiry is an opportunity | A qualification step, so an inquiry is converted into an opportunity only when it meets your criteria | The pipeline holds deals, not an inbox |
| No scoring, so priority is whoever shouted loudest | Predictive lead scoring trained on your own won and lost history, with assignment rules that route by probability and team | Reps work leads that resemble the ones you won |
| Follow-up left to individual habit | An activity plan per stage: which call, which follow-up, in how many days, always raised before the last one closes | No deal goes quiet because nobody owned the next step |
| One shared mailbox that nobody files | An email alias per sales team so messages create or update the record, plus the Outlook and Gmail plugins | The history sits on the deal, not in a sent folder |
| The website form posting to an email address | The website form mapped to CRM fields, with the sales team set on creation and the UTM medium, source and campaign kept on the lead | Attribution survives the handoff from marketing to sales |
| Quotations typed from scratch each time | Quotation templates per product line with optional products and terms, closed by an online signature | A quote goes out the same day and comes back signed |
| Closed-lost recorded without a reason | A short, mandatory list of lost reasons feeding the Pipeline Analysis report | Win rate is answerable by segment, not by anecdote |
Capability and feature names follow the Odoo 18 documentation.
/ AI where it touches the pipeline
Where does AI earn its place in a CRM?
Where AI changes selling work in Odoo, and where it starts upstream.
Scoring built on your own history
Odoo computes a probability for every lead from the fields on your won and lost deals. We choose the variables it learns from and write the routing rules, so the strongest leads reach the right team.
Duplicates caught on the way in
Odoo can find similar leads and merge them into one record, keeping both histories. We tune the matching so two reps never work the same account from two cards.
Purchase orders read, not keyed
For American Lighting, a US lighting manufacturer, an agent finds the purchase order in a Zendesk ticket, reads any format, and matches customer, address and SKU to existing records before the order is drafted.
The next step is never missing
Activity plans and automation rules raise the next call as soon as a deal changes stage. A person decides what to say; the system decides something is due, and who owns it.
Odoo CRM integration: what connects to the customer record?
Odoo does not replace every system you run. Inside Odoo, CRM shares one database with the other applications; outside it, CRM has to talk to these.E-commerce
Store accounts, orders and returns land on the customer record the rep already has open, so an opportunity starts from what this account bought and returned.
and moreERP Systems
The finance system usually stays where it is. Invoices, payments and credit status move between Odoo and SAP, Sage or QuickBooks; payroll stays in Gusto.
and moreEDI & Marketplace
Reseller and marketplace demand arrives through partner portals and feeds. Each inquiry lands as a lead carrying its source, so channel performance is measured, not assumed.
and moreShipping Gateways
A quote that promises a date has to mean it. Carrier and warehouse data reach the quotation, so the promise matches what the operation can do.
and moreTaxation
A quotation for a customer abroad has to carry the right tax. Fiscal positions and a connected tax engine apply it on the quote, not on the invoice afterward.
and morePayment Gateways
Acceptance and the first payment belong in one step. Payment providers connect to the quotation, so a signed quote is settled without another exchange of emails.
and moreOther Integrations
Calendars, telephony, marketing automation and BI all touch the pipeline. Each gets a named owner and a written rule for what it may write back.
and more/ Delivery
How does an Odoo CRM implementation run?
Small implementations 8 to 12 weeks, mid-market 12 to 24 weeks, multi-team rollouts 6 to 12 months. A named owner and a working demo at each stage.
Discovery and business requirements
We map how you sell today: sources, stages, qualification, account ownership and every system holding a customer record. You provide a sales leader and a pipeline export.
Design
Stage definitions, lead-to-opportunity rules, scoring inputs, activity plans, quotation templates and the reporting set are agreed in writing first.
Build and data
Configuration, email and website capture and any Studio work, then accounts, contacts and open opportunities loaded into a test database with the history scoring needs.
Pilot and go-live
One team runs live deals in Odoo while the old system stays read-only. Sales follows once the two pipelines reconcile, with hypercare through the first forecast cycle.
/ Scope
What makes an Odoo CRM scope bigger or smaller?
A typical engagement covers the CRM application, Sales for quotations, email and website capture, data migration and the reporting set.
How many sales teams
Each adds its own stages, targets, routing rules and a report somebody has to trust.
How assignment rules route leads
Round-robin is quick. Territory, product line and language rules are a design exercise of their own.
How much customer data comes across
Open opportunities only is straightforward. Migrating years of closed deals and attachments is a project in itself, and scoring is better for it.
What touches the record
A system that reads is easy. One that writes to the same record needs an owner and a conflict rule.

/ Comparison
Odoo CRM, HubSpot, Salesforce or Zoho CRM?
All four are capable. The question is whether selling is the only process you need on one system.
| Criterion | HubSpot, Salesforce or Zoho CRM | Odoo |
|---|---|---|
| Scope | HubSpot unifies marketing, sales and service on one Smart CRM, plus integrations | CRM on the same database as Sales, Invoicing, Inventory and Helpdesk |
| Multi-entity | HubSpot Enterprise manages multiple business units while keeping data flowing | Multi-company on one database, each company with its own books |
| Customization | HubSpot Enterprise adds custom objects without coding expertise | Studio for changes without coding, plus source access on Community |
| Hosting | HubSpot hosts its infrastructure on AWS, US East or EU | Odoo.sh, your own cloud, or on-premise |
| Quote to cash | HubSpot builds quotes, e-signatures and payments into the CRM; Salesforce sells configure-price-quote separately | The quotation becomes the sales order and the invoice on one record, in the same database as Accounting |
| Upgrade path | Salesforce ships three seasonal releases a year | Version upgrades planned and tested, typically 3 to 8 weeks |
Each competitor claim is the vendor’s own wording, linked; where a vendor is not named, we make no claim.
Choose one of them if selling is the only process you need on one system. Choose Odoo if the quote has to become the order and the invoice on one record, or you run several companies. Already on Salesforce? For CBS we integrated the two rather than replacing either.
/ Questions we are asked
Odoo CRM FAQs.
Is Odoo CRM a separate module or part of the ERP?
CRM is one application inside Odoo, on the same database as Sales, Invoicing, Inventory and Helpdesk. You can run it on its own, and many teams start there. Because it shares that database, a won opportunity is never copied into a second system.
Is Odoo CRM good enough to replace Salesforce or HubSpot?
For most mid-market sales teams, yes. It covers leads, opportunities, predictive scoring, activities, quotations and pipeline reporting on the same database as Sales and Invoicing. The trade-off is a smaller app marketplace. For CBS we integrated Salesforce with Odoo instead.
How long does an Odoo CRM implementation take?
Small implementations run 8 to 12 weeks. Mid-market programs run 12 to 24 weeks. Multi-team enterprise rollouts run 6 to 12 months. A version upgrade alone is 3 to 8 weeks. Sales teams, routing rules and migrated history move the range most.
How does lead scoring work in Odoo?
Odoo computes a probability for each lead from the fields on deals you have already won and lost. You choose which variables it learns from and from which date. Assignment rules then route leads by probability, team and territory, so priority stops being guesswork.
Can we keep our own pipeline stages?
Yes, and you should. We rewrite the default stages as your own exit criteria and put in writing what has to be true before a deal moves. That is what makes a forecast comparable between reps. Stages are set per sales team, so pipelines can differ.
Does Odoo CRM connect to our email?
Yes. Each sales team can have an email alias, so a message to that address creates or updates a record and later replies thread onto it. Outbound mail goes through your own server with SPF, DKIM and DMARC aligned. Outlook and Gmail plugins log from the inbox.
What happens to a deal once it is won?
The opportunity becomes a quotation and then a sales order on the same record, with nothing retyped. Quotation templates carry your product lines, optional products and terms, and an online signature closes it. Invoicing and delivery run from that order, so what was sold is billed.
Do we have to move all our CRM data across?
No. We migrate accounts, contacts and open opportunities first, then agree how much closed history follows. Closed deals are worth bringing, because predictive scoring learns from won and lost records. Deduplication runs at import, so the new pipeline does not inherit old duplicates.
Do we need Odoo Enterprise for CRM?
It depends on the applications you want around the CRM and on how you plan to host. Community is open source with full source access. Enterprise is licensed and carries the wider application set and Odoo.sh hosting. We set the differences out during design.
Which reports do sales managers get?
Pipeline Analysis is the main one: open pipeline and expected revenue by stage, salesperson and team, with win rate answerable by segment because every lost deal carries a reason. Leads Analysis adds attribution, grouping leads by UTM medium, source and campaign.
What is Odoo CRM?
Odoo CRM is the customer relationship management app in Odoo, which Odoo describes as a suite of open source business apps. It tracks leads and opportunities through a Kanban sales pipeline with stages you customize, schedules sales activities, scores leads, and turns a won opportunity into a quotation in the Sales app. Odoo calls it an AI-native CRM to track leads, get accurate forecasts and close more opportunities.
What are the key features of Odoo CRM?
Odoo says the app packs hundreds of advanced features. The ones we configure first are pipeline stages per sales team, predictive lead scoring, rule-based assignment, activity plans, email aliases, website forms with UTM tracking, deduplication, quotation templates and the Pipeline and Leads Analysis reports. Lead mining and lead enrichment run on Odoo’s in-app purchase credits, which its pricing page lists separately.
What does Odoo CRM customization involve?
Mostly configuration of existing features: stages, assignment rules, scoring variables, activity plans, email aliases and quotation templates. Where your specific business needs go further, Odoo Studio adds fields, views and automation without code, and custom modules cover new business logic. The order is the same as for any Odoo customization: configure first, use Studio next and write code last. Custom code lives in its own module under version control, rather than in Odoo’s core files.
Does Odoo CRM customization need coding?
Often not. Stages, rules, scoring and templates are settings, and Studio handles new fields and screens without code. Technical development is needed for new business logic or for a connector Odoo does not provide. Odoo’s pricing page says the Standard plan runs on Odoo Online, which hosts databases without custom modules, so custom modules mean the Custom plan on Odoo.sh or on-premise hosting.
Which Odoo CRM integrations are most common?
Inside Odoo, the CRM integrates with email, live chat, SMS and VoIP, and syncs meetings with Google Calendar, according to Odoo. Outside it, the usual candidates are an eCommerce store, the accounting software or ERP system that stays in place, marketing automation tools, and another CRM during a phased move. For CBS we integrated Salesforce with Odoo across several companies rather than replacing either. Each integration gets an owner and a rule for which system wins when both write to the same record.
How does Odoo CRM integrate with other systems?
Inside Odoo there is nothing to sync: CRM shares one database with Sales, Inventory, Accounting and the other Odoo apps. External systems connect through Odoo’s External JSON-2 API at the /json/2 endpoint, which Odoo’s documentation says is only available on Custom plans. The older XML-RPC and JSON-RPC endpoints are deprecated, and their remaining services are scheduled for removal in Odoo 22 (fall 2028), so we build new connectors on JSON-2.
What are the disadvantages of Odoo CRM?
Three honest ones. The app marketplace is smaller than Salesforce’s. Teams moving from a standalone CRM face a learning curve, because quotations, invoices and stock sit on the same records. And every customization adds ongoing maintenance: custom modules and integrations are retested at each version upgrade, and the external API and custom modules both need Odoo’s Custom plan.
How does Odoo CRM track new leads?
Odoo’s feature list says leads can be created automatically from emails, VoIP calls, social media reactions, website visitors, event attendees and support tickets. UTM trackers keep the medium, source and campaign on each lead, GeoIP detects the visitor’s country, and duplicates are proposed for merging when a lead becomes an opportunity. Lead mining can also generate new leads directly into the database.
Can Odoo CRM automate repetitive tasks?
Yes. Odoo lists lead creation, team assignment and scheduled activities among the things the app can automate. Assignment is flexible: rules route leads by team, quota and segment, and run manually or repeatedly at an interval from minutes to weeks. Activity plans raise the next call when a deal moves, which keeps follow-up workflows running, and Odoo says quotes go out in just a few clicks, which cuts manual entry so reps can focus on selling.
Where does Odoo CRM keep customer data?
On the contact. Each contact holds contact details, multiple addresses, preferences such as language and delivery method, and the full communication history of emails, calls, meetings and notes. Odoo’s feature list adds the opportunities, orders, invoices and total due attached to each customer, which gives sales and finance the same 360° view.
Which other applications share the CRM database?
Sales for quotations and orders, Inventory for product availability on the quote, Accounting and Invoicing, Email Marketing, Helpdesk, Project and Odoo eCommerce, among others. Each is one of the Odoo modules installed on the same database. Because inventory management, project management and selling run on one database, a rep sees what the customer ordered, received and was invoiced.
What business problems does Odoo CRM solve?
The ones in the symptoms above: a forecast rebuilt by hand, new leads nobody owns, a won deal retyped into another system, and a pipeline total nobody trusts. In discovery we agree what business success looks like, for example win rate, cycle length and forecast accuracy, so the benefits are measured against those numbers.
What happens after go-live?
Hypercare runs through the first forecast cycle. After that, post-launch support can cover new users and teams, additional features as the sales process changes, new features from each Odoo release, and the ongoing maintenance of custom modules and integrations at every version upgrade.
Is Odoo CRM free?
It can be. Odoo’s One App Free plan gives one app with unlimited users on Odoo Online, and CRM can be that app. Adding Sales, Invoicing or other apps moves you to the Standard or Custom plan, priced per user per month. Odoo’s pricing page notes that implementation services and the maintenance of custom code are not included in its plans.
