Odoo ERP for Wholesale Distribution: one system for the whole operation
Brainvire configures Odoo the way distributors trade: several warehouses on one stock ledger, a pricelist per customer, dropship routes for what you never hold, EDI and marketplace orders arriving as orders, and a B2B portal buyers reorder from.
Inventory, Purchase, Sales, Accounting and the web shop on one database, so the stock figure, the price and the invoice all read from the same record.
Distributors running more than one warehouse, selling to trade accounts on negotiated prices, and taking orders from EDI partners, marketplaces, reps and a web store.
Small implementations 8 to 12 weeks. Mid-market 12 to 24 weeks. Multi-entity, multi-country rollouts 6 to 12 months.

/ Before you change anything
Does your operation look like any of this?
Patterns we see where the warehouse runs on one system and the books on another.
The stock figure depends on who you ask
Sales quotes one number, the warehouse counts another, and the web store sells a pallet that shipped yesterday.
Every channel arrives in its own format
EDI files, marketplace exports, emailed spreadsheets and rep orders are all re-keyed into the same screen.
Contract pricing lives in a workbook
Tier prices, volume breaks and customer agreements sit outside the system, so the wrong price ships and margin is found late.
Pickers walk the route they remember
Locations are labeled but not enforced, put-away is habit rather than rule, and a missing pallet is found on foot.

/ The work itself
What does Brainvire actually configure in Odoo for a distributor?
Odoo ships a working Inventory, Purchase and Sales suite. The value is in the configuration.
| Odoo default | What Brainvire changes | Why it matters |
|---|---|---|
| One warehouse, one location | Several warehouses, each with its own location tree, plus inter-warehouse resupply routes | One stock ledger, so a branch can promise what another branch holds |
| Locations used as labels | A location structure with putaway rules and product and location barcodes | Stock lands where it belongs on receipt |
| One picking step for every order | Pick, pack and ship per warehouse, with batch and wave picking | One route for many orders, not one route per order |
| A single sales price per product | Pricelists per customer, channel and currency, with volume breaks and contract prices | The quoted price is the agreed price, on quote, portal and till |
| Purchase prices typed in by hand | Vendor pricelists imported and kept current, with a lead time against each supplier | Buying proposals use the price the supplier quoted |
| Everything has to be stocked | A dropship route on lines the supplier ships direct, with the purchase order raised from the sales order | An out-of-stock line becomes a supplier shipment, as built for Central Sign Supplies |
| Manual order entry per channel | EDI and marketplace intake mapped into sales orders, with an exception queue for failures | Orders arrive as orders. Only exceptions need a person |
| A public web shop | A B2B web shop with tax-excluded prices hidden from visitors, and portal access by invitation | Trade buyers reorder without calling a rep |
| No lot or expiry control | Lot and serial tracking end to end, with FEFO removal where shelf life matters | A recall is a query, not a search of the warehouse |
| Freight and duty expensed centrally | Landed costs applied to receipts | Margin per line reflects what the stock cost to land |

/ AI where it touches the order
Where does AI earn its place in a distribution business?
Four places automation pays for itself.
Purchase orders read, not keyed
For American Lighting, a US lighting manufacturer, an agent finds the order in a support ticket, reads any format and matches it to existing records.
Vendor bills read, not typed
Supplier invoices are digitized into draft bills with vendor, dates, taxes and lines populated, then routed for approval. Your team checks exceptions, not every document.
Channel orders, one structure
EDI, marketplace and storefront files become one sales order, with failures held in an exception queue. We integrated Odoo, Shopify and EDI for a US maker of car-care products.
Buying against forecast, not memory
Forecasted stock, reordering rules and supplier lead times are configured together, so the replenishment report proposes what to buy.
What has to connect to a distributor’s ERP?
Odoo does not replace every system a distributor runs. It has to agree with them.E-commerce
The storefront sells from Odoo’s stock, not a copy of it. Orders, prices and availability move between Shopify, WooCommerce or Adobe Commerce and Odoo as they happen.
and moreERP Systems
Leaving Sage, QuickBooks or an older system need not lose history. We map the item master, customers and open orders record by record, then reconcile stock before cut-over, as Champion Supply did off Sage 50.
and moreEDI & Marketplace
Trading partners send EDI, marketplaces send their own export, and the two were never designed to agree. We map both into one sales order structure, with an exception queue.
and moreShipping Gateways
Carrier accounts, live rates and labels belong on the delivery order. For Russell’s Bromeliads we connected UPS, FedEx and Print Node, so cost and label come from one screen.
and moreTaxation
Ship to enough states or countries and the rate follows the destination, not you. We integrated TaxJar with Odoo across all six Champion Supply entities.
and morePayment Gateways
Trade accounts pay on terms and web buyers at checkout, and both settle against one receivable. Ontario Cash and Carry runs Stripe through Odoo this way.
and moreOther Integrations
3PL feeds, barcode hardware, BI dashboards and payroll all touch the operation. Each gets a defined interface and a reconciliation, so a dashboard number traces back to a record.

How does an Odoo rollout run in a distribution business?
Small implementations 8 to 12 weeks, mid-market 12 to 24 weeks, multi-entity rollouts 6 to 12 months. A named owner and a working demo at each stage.
Discovery
We walk the warehouse, map every channel an order arrives on, and list each system holding stock, price or customer data.
Design
Warehouse structure, picking strategy, pricelist rules, dropship routing and the integration map are agreed in writing before anything is built.
Build and data
Configuration, integrations and any Studio work, then item master, customers, open orders and opening stock loaded into a test database.
Pilot and go-live
One warehouse or channel goes live first, proven with a physical count. The rest follow on a period boundary, with hypercare through month one.
/ Scope
What makes a distribution scope bigger or smaller?
A typical engagement covers Inventory, Purchase, Sales and Accounting for one warehouse and one channel, with the item master and opening stock migrated.
How many sites
Each site adds its own locations, picking strategy and resupply route, plus a count to prove the opening figure.
How the item master behaves
Variants, units of measure, packaging and substitutes change how stock, orders and pricing are configured.
Where orders arrive from
EDI partners, marketplaces, a B2B portal and rep orders are four pieces of work, not one integration.
Companies and countries
Each legal entity adds intercompany rules, a fiscal localization and a statutory report.
/ Accelerators
Start from a ready-made Odoo package.
A fixed-price Odoo package built on real projects, so you go live sooner with less risk.
/ Odoo, on the record
Where have we done this for distributors before?
Each card is one client. Supreme World added a live Odoo WMS in one month.
Ontario Cash and Carry
A Canadian foodservice distributor with a large catalog. We configured Odoo POS, Sales, Purchase and Accounting, connected Stripe, and set up Inventory with barcode scanning so picks are recorded on the floor.

/ Comparison
Odoo, or a separate WMS, storefront and accounting stack?
Plenty of distributors run best-of-breed systems well. The question is what the integration between them costs every time something changes.
| Criterion | Separate systems | Odoo |
|---|---|---|
| The stock figure | Each system holds a copy, synced on a schedule | One ledger that sales, the warehouse and the web store read directly |
| Customer pricing | Maintained in the ERP, then again in the storefront | One set of pricelists across quotes, portal and till |
| Order channels | A connector per channel, per system that needs it | Channels map into one sales order model and one exception queue |
| Adding a warehouse | Configured again in every system that tracks stock | A warehouse record with its own locations and routes |
| Cost of a change | Regression-tested across every interface | Configuration in one place, custom code only where needed |
Keep separate systems if one is a genuine advantage a suite would flatten. Choose Odoo if your integration work exists only to keep two systems agreeing about stock or price. Already on another ERP? See Odoo ERP migration.
/ Questions distributors ask
Odoo for wholesale distribution FAQs.
Can Odoo handle multiple warehouses?
Yes. Odoo runs several warehouses on one database, each with its own locations, picking strategy and resupply routes, and stock stays visible across all of them from one screen. We configured real-time multi-warehouse tracking with barcode scanning for Champion Supply, a hospitality distributor with six North American centers.
Does Odoo support EDI with trading partners?
Partly. Odoo can export a purchase order as UBL XML and import it as a sales order in another Odoo database. Trading-partner EDI in X12 or EDIFACT is a connector we build to each partner's specification, with an exception queue for whatever fails validation.
How does customer-specific pricing work in Odoo?
Through pricelists. Each customer, channel or currency can be assigned its own pricelist, carrying volume breaks, formula rules and negotiated contract prices. The same rules drive quotations, the B2B portal and the point of sale, so a rep and the web store quote the same figure.
Can Odoo drop-ship orders straight from a supplier?
Yes. A dropship route raises the purchase order from the sales order and ships direct from your supplier, with the delivery address carried through. For Central Sign Supplies we added an availability check that sends a line to the warehouse, or creates a dropship order when stock falls short.
Can trade customers order online without seeing public prices?
Yes. An Odoo B2B web shop can show tax-excluded prices, hide pricing from anonymous visitors, and grant account access by invitation only, with each account assigned its own pricelist. Signed-in buyers then reorder from their history, track deliveries and download invoices without calling a rep.
Do we have to move every warehouse at once?
No. The usual pattern is one warehouse or one order channel live first, proven with a physical count against the opening stock figure, then the rest follow. Cut-over lands on a period boundary so the stock ledger and the books agree from day one.
Will Odoo replace our warehouse management system?
Often, yes. Odoo Inventory covers locations, putaway rules, barcode scanning, batch and wave picking, and removal strategies including FEFO. Supreme World, a Middle East toy distributor already on Odoo 17, added a dedicated Odoo WMS with optimized picking routes and automated put-away in one month.
Can Odoo track lots, serial numbers and expiry dates?
Yes. Products can be tracked by lot or serial number through receipt, storage and delivery, and FEFO removal picks the earliest expiry date first where shelf life matters. That turns a recall into a query against a lot number rather than a walk through the warehouse.
