QuickBooks to Odoo migration, without losing a single record
Leaving QuickBooks is a replatform, not a version upgrade, so nothing converts itself. Brainvire exports your lists, balances and open documents, rebuilds the chart of accounts inside Odoo, imports every record with a key that points back at the old file, and agrees the result to your last trial balance before a go-live date exists.
Rebuilding your books in Odoo from a QuickBooks export. There is no conversion service between the two: each record is exported, mapped to an Odoo field, imported and then reconciled. Odoo accepts CSV or Excel files on any business object, including contacts, products, bank statements, journal entries and orders.
Finance teams whose ledger still works, but whose stock, manufacturing, projects or multiple companies no longer fit around it.
Brainvire plans a QuickBooks move inside its implementation bands: 8 to 12 weeks for a small company, 12 to 24 weeks mid-market. These are our own planning figures, not Odoo published ones, and they assume the history decision is made up front.

/ Before another year closes
Why does the QuickBooks move keep slipping?
Four reasons we hear, and every one is about data rather than software.
Year end is the only window anyone will agree to
So the decision waits twelve months, and the year it waits is usually the year the business changes shape. A mid-year cut-over is a real option once the opening balances are planned for instead of discovered.
Nobody has listed what is in the file
Duplicate vendors and customers, dormant accounts, items nobody sells. On Samsar Resources those duplicates were merged during the migration, with the detail behind them preserved, rather than carried into Odoo.
The export does not carry every relationship
On that same engagement QuickBooks held no export data for payment associations, so each payment was linked back to its invoice or bill as part of the work. That is scope to plan for, not a surprise to absorb.
The decision about history has not been made
How many years come across, in what shape, and what the old file is kept for afterwards. Answer that first and the rest of the plan follows from it.

/ The data promise
What moves from QuickBooks into Odoo, and what does not?
Record by record. The import mechanics are Odoo’s own, from its export and import documentation. The third column is our reading, not theirs.
| Record | Moves? | How it lands in Odoo |
|---|---|---|
| Customers | Yes | Imported as contacts, each keyed by an External ID that still points at the QuickBooks record |
| Vendors | Yes | Same import, same key, so duplicates surface on the spreadsheet instead of inside Odoo |
| Products and services | Yes | Imported once units of measure, categories and tax mapping have been decided |
| Chart of accounts | Rebuilt | Odoo installs a localization chart of accounts when the database is created; yours is mapped onto it |
| Opening balances | Yes | Entered account by account during accounting setup, then agreed to your last trial balance |
| Open invoices and bills | Yes, document by document | Every unpaid document is imported individually so aging, statements and collections carry on from day one rather than restarting |
| Payments matched to documents | Rebuilt, not exported | On Samsar Resources the QuickBooks export held no payment associations, so payments were linked back to their invoices and bills by hand. Budget for it |
| Posted transaction history | Usually summarized | Closed periods normally land as journal entries rather than individual transactions, and the QuickBooks file is kept read-only for as long as your retention policy requires |
| Bank feeds and reconciliations | Reconnected, not moved | Odoo synchronizes the bank itself, and each transaction sits on the journal’s suspense account until it is reconciled |
| Memorized and saved reports | Rebuilt | Odoo builds its statements from the account type and the analytic model, so reports are re-created in that shape instead of ported across |
| Attachments and documents | Partly | The import tool can attach image files by matching their filenames to a column; anything else is moved as its own exercise |
| Payroll | Decided separately | Odoo’s United States localization lists a payroll module and an export to ADP, so payroll is a decision of its own, never an assumption |
/ Four workstreams
How does the data actually get from QuickBooks into Odoo?
The mechanics are Odoo’s, documented in export and import data. The order, and the point at which finance signs, are ours.
Everything comes out, and gets counted
Lists, balances, open documents and the last signed trial balance are exported to CSV or Excel. Duplicates, blanks and dormant accounts are counted before a single field is mapped, because a duplicate imported is a duplicate you now own. Odoo advises processing large files in smaller batches so nothing times out.
The chart of accounts is rebuilt, not copied
Odoo installs a fiscal localization package with a ready chart of accounts based on the country chosen when the database is created, and every account carries a Code, a Name and a Type. The type drives the legal reports, the fiscal-year close and the opening entries, so finance agrees it first. Once a journal entry has been posted, the localization cannot be changed.
Imported with a key back to the old file
Odoo recommends keeping the External ID column and reusing the unique identifier from your previous software. That lets the same file be imported again without creating duplicates, and lets related records point at each other. Every load runs through Test first, because Odoo states plainly that imports are permanent and cannot be undone.
Nothing is signed off on a number nobody checked
Customer and supplier aging, the bank position and the trial balance are agreed against the old system before go-live, not after it. On a cloud VoIP provider’s move off QuickBooks, eight entities were reconciled through user acceptance testing across sandbox and live environments before the switch.
/ Delivery
How does a QuickBooks to Odoo migration actually run?
Four stages, and the load runs twice. Brainvire plans a QuickBooks move at 8 to 12 weeks for a small company and 12 to 24 weeks mid-market — our own planning figures, not Odoo published ones.
Inventory and decide
Every list, account, open document and integration is counted. Two decisions set the shape of everything after it: how much history comes across, and what leaves QuickBooks alongside the books.
Build the target
The database is created against the right country so the correct localization, chart of accounts and taxes install themselves. Your accounts, taxes, payment terms and companies are then configured on top of that.
Dry run on a copy
A full extract is loaded into a test database through Test before Import, then aging reports and the trial balance are compared with QuickBooks line by line. Whatever disagrees is fixed here, not in week one.
Final extract and cut over
QuickBooks is frozen, its closing balances become your opening balances, the final load runs, and finance signs the reconciliation before anyone raises a document in Odoo.
/ Scope
What makes a QuickBooks migration bigger or smaller?
Four things decide it, and the software is not one of them.
How many companies are in the file
One company is one mapping. Several turn into an inter-company design, a consolidation question and a repeat of the whole reconciliation. On one cloud VoIP engagement, eight entities were synchronized in Odoo.
How many years travel with you
Open items are not negotiable; everything behind them is a choice between summarized journal entries, full transactions, or a read-only copy of the old file kept for reference.
What else leaves at the same time
Books only is the smallest version of this. Adding stock, manufacturing, projects or a storefront makes it an implementation with a migration inside it, and the planning bands move accordingly.
Which country rules and tools apply
Odoo’s United States package lists check layouts including the Quicken and QuickBooks format, a 1099 report you can file through a third party, NACHA payment export, AvaTax and an ADP export. Each is a yes or no before cut-over.
/ QuickBooks moves, on the record
Have we moved a company off QuickBooks before?
Twice on the record, plus one look at what the accounting runs like afterwards.
Samsar Resources
Samsar wanted to keep its existing SaaS setup while moving its financial data out of QuickBooks. Brainvire merged the duplicate vendors and customers without losing the detail behind them, linked payments back to the invoices and bills the export could not associate, and implemented a cost-of-goods calculation covering materials, labor and services.

A multi-company move to Odoo Accounting
The client runs cloud VoIP services for businesses and wanted Odoo for accounting instead of QuickBooks. Brainvire built the multi-company architecture the group needed, migrated and synchronized the data across sandbox and live environments, and proved the numbers through reconciliation and user acceptance testing before the switch.

A Canadian condo rental provider
A member of the Tridel group, established in 1986, that runs the rental process between landlords and tenant owners. Brainvire brought its separate operating units onto one Odoo system so accounting worked across all of them, automated the repetitive daily transactions, made the setup compliant with Canadian taxation rules, and built reporting across the whole organization.

/ The timing decision
Should you cut over at year end, or mid-year?
Both work. Odoo asks you to set the fiscal year’s opening and closing dates during accounting setup, defaulting to 1 January and 31 December. The rest of this table is our reading.
| Criterion | Cut over at year end | Cut over mid-year |
|---|---|---|
| Opening balances | One set, taken from the closing balances | Two: the year-end balances plus the movement since |
| Comparatives in Odoo | A clean year from day one | The current year is split across two systems |
| When you start | You wait for the date | You start once the data is ready |
| Load on the team | Lands on the busiest close of the year | Lands on a month you choose |
| What QuickBooks is kept for | Closed years, read-only | Closed years and the part-year, read-only |
| What has to be agreed | One trial balance | A trial balance and a period movement |
Choose year end if the team can absorb a migration alongside the close. Choose mid-year if the data is ready sooner and waiting a year costs more than the extra reconciliation. Other routes onto Odoo start at Odoo migration.
/ Questions we are asked
QuickBooks to Odoo migration FAQs.
What is a QuickBooks to Odoo migration?
It is a replatform, not a version upgrade. Your books are rebuilt in Odoo from a QuickBooks export: lists, balances and open documents are exported, mapped to Odoo fields, imported and reconciled. Odoo accepts CSV and Excel files on any business object, including contacts, products, bank statements, journal entries and orders.
Does Brainvire offer a QuickBooks connector for Odoo?
No. The QuickBooks work Brainvire publishes is a migration, not a live connector. On Samsar Resources the financial data was moved once, duplicate vendors and customers were merged, and payments were linked back to invoices and bills. A continuous two-way sync between the two systems would be a bespoke build, scoped separately.
What data actually moves from QuickBooks to Odoo?
Customers, vendors, products, open invoices and bills, and opening balances all move. The chart of accounts is rebuilt onto the localization chart Odoo installs with the database. Bank feeds are reconnected rather than migrated, saved reports are re-created, and payment-to-document links are usually rebuilt because the export does not carry them.
Can we bring our QuickBooks transaction history across?
Open items always come. Closed periods are a decision: most teams import them as summarized journal entries per period and keep the QuickBooks file read-only for as long as their retention policy requires. Importing years of individual transactions is possible, but it lengthens both the load and the reconciliation that follows it.
How long does a QuickBooks to Odoo migration take?
Brainvire plans one inside its implementation bands: eight to twelve weeks for a small company, twelve to twenty-four weeks for mid-market. Those are our own planning figures rather than Odoo published ones. The variables that move them are the number of companies in the file, how much history travels, and what else leaves QuickBooks at the same time.
Do we have to wait until the end of our fiscal year?
No. A year-end cut-over means one set of opening balances and a clean comparative year, which is why it is popular. A mid-year cut-over needs the year-end balances plus the movement since, so there is more to reconcile, but you start when the data is ready instead of waiting for a date.
How do you prove the migrated numbers are right?
On a copy first. A full extract is loaded into a test database, run through Odoo’s Test step before import, and then the trial balance plus customer and supplier aging are compared with QuickBooks line by line. Finance signs that reconciliation before any document is raised in the live database.
What happens to our chart of accounts?
It is remapped rather than copied. Odoo installs a fiscal localization package with a ready chart based on the country chosen when the database is created, and each account needs a Code, a Name and a Type. The type drives legal reports, fiscal-year close and opening entries, and the localization cannot be changed once an entry is posted.
Will US tax and 1099 reporting still work in Odoo?
Odoo’s United States localization follows GAAP and lists modules for US accounting reports, a 1099 report that downloads as a CSV for electronic filing through a third party, NACHA payment export, AvaTax and check layouts, including the check-on-top format Odoo names as the Quicken and QuickBooks standard. Which of those you install is decided before cut-over.
Can Brainvire migrate a QuickBooks file somebody else set up?
Yes, and that is the usual starting point. Before any date is discussed we profile the file: duplicate vendors and customers, dormant accounts, items nobody sells, and the open documents that must arrive intact. Each gets a verdict of move, merge, summarize or leave behind, and that verdict list becomes the migration plan.
