Odoo Rental, configured for how you actually operate
Brainvire configures Odoo Rental around the cycle your assets actually run: the order and its dates, the pickup, the return, the deposit and the invoice behind them. It is Enterprise only, and we say where a hire fleet outgrows it.
The rental application inside Odoo: an order with start and end dates, a pickup and return you validate, a price computed per period, and an invoice from the sales order behind it.
Enterprise only. Odoo’s editions page marks Rental unavailable in Community, alongside Subscriptions, Field Service and Studio. Inventory and Maintenance are in both.
No per-unit asset lifecycle, no availability driven by servicing, no telematics. Security Time is a fixed gap between hires, not a service window. Those are integrations.
Small implementations 8 to 12 weeks, mid-market 12 to 24 weeks, multi-depot rollouts 6 to 12 months. Our estimates.
/ Before you change anything
Does your hire desk look like any of this?
Patterns we see where the booking, the yard and the invoice are separate records.
Two customers, one machine
The planner says it is free, the yard says it went out Friday, and the argument happens in front of the customer.
The kit leaves on a handshake
Nothing is signed at pickup, so the argument about what came back damaged has nothing behind it.
Every long hire is a negotiation
Day, week and month terms are worked out by hand, so two customers on the same deal end up apart.
The invoice waits for the return
Deposits live in a notebook, late returns are forgiven by default, and the month closes with hires open.

/ The work itself
What does Brainvire actually configure in Odoo Rental?
Odoo ships a working Rental application. The value is in the configuration. The order layer underneath: Odoo Sales.
| Odoo default | What Brainvire changes | Why it matters |
|---|---|---|
| Rental Transfers off | Rental Transfers on, so pickups and returns raise real deliveries and receipts | The yard and the warehouse stop disagreeing |
| No gap between hires | Default Padding Time set once, Security Time per product, and Unavailability days before the storefront opens | Turnaround stops being optimism |
| One rental price line | A line per period on the Rental prices tab, varied by pricelist where terms differ | Long hires price themselves |
| Delay costs unset | Default Delay Costs set, then Extra Hour and Extra Day per product | A late return has a consequence |
| Deposits handled off-system | A deposit service product on Delivered quantities, set as an Optional Product on the rental product and refunded by credit note on return | The deposit sits on the order and in the ledger |
| Anything can be flagged Can be Rented | Product Type Goods with Track Inventory on where a count has to mean something, Service where it does not | Availability describes the real fleet |
| Invoicing left on the default | An invoicing policy chosen per rental product | The hire and the revenue close in the same period |
Feature names follow the Odoo 18 documentation. One mechanism to grasp before writing a price ladder: Odoo computes a rental price from a single line, repeated to cover the duration, choosing whichever works out cheapest. It never adds periods together, so a ladder in the wrong order leaves a longer hire priced below a shorter one.
/ Automation, where it pays
Where does automation earn its place on a hire desk?
Four places the admin around a hire becomes configuration, not memory. Signing runs on the Sign app.
The agreement is signed before pickup
Switch on Digital Documents and a confirmed rental order grows a Sign Documents button. Odoo installs Sign if it is missing, the customer signs from the portal, and the completed document lands on the record before the kit leaves.
The gap between hires is a setting
Default Padding Time sets the minimum interval between rentals app-wide. Security Time does the same per product, in hours, which is what Odoo suggests where an item needs cleaning or checking first.
An overrun bills itself
Default Delay Costs sit in the Rental settings and apply to late returns. Per product, the Reservations block adds a charge for each extra hour or extra day the item is kept.
Where Odoo stops, we build
GOWell Petro’s Odoo database runs Rental, Maintenance and Field Service side by side. Nothing in the documentation connects a maintenance request to rental availability, so stopping a failed inspection going back out is a build.
/ Delivery
How does an Odoo Rental implementation run?
Small implementations 8 to 12 weeks, mid-market 12 to 24 weeks, multi-depot rollouts 6 to 12 months. A named owner and a working demo at each stage.
Discovery
We follow one asset out and back: how it is quoted, who checks it out, what gets signed, what comes back short and who pays. You provide a hire desk manager and a live contract.
Design
The catalog, the pricing ladder per product, padding and security times, the deposit product, delay costs and invoicing policy are agreed in writing.
Build and data
Configuration, the Sign templates, any Studio work and integrations, then the fleet, open hires and balances into a test database.
Pilot and go-live
One depot runs live beside the old book until availability and invoices agree, then the rest follow. Hypercare to the first month-end.
/ Scope
What makes a rental scope bigger or smaller?
A typical engagement covers the Rental application, the catalog and its pricing periods, pickup and return, deposits and the invoice behind them. Servicing-driven availability, telematics and depot rebalancing are builds. Warehouses and locations: Odoo Inventory and WMS. Service visits on kit already out: Odoo Field Service. Hire with no return date, billed on a renewing plan, is Odoo Subscriptions.
How identical your kit is
A pool of interchangeable units is straightforward. Kit you must name, track and cost one by one is another project.
What happens between hires
A fixed security time is a setting. Availability that waits on an inspection passing is a build.
How many places it lives
One yard is configuration. Cross-hire between branches and rebalancing an idle fleet is logic Odoo will not ship.
Whether you bill by use
Hire by period is native. Hours on a meter or distance on a tracker arrive from somewhere Odoo does not document.
/ Odoo, on the record
Where have we done rental work before?
Two published clients where rental is the subject. Two more where the rental system stayed someone else’s: Navigare Yachting kept NauSYS for rental orders and put Odoo under the accounting, and Del Rentals got a custom app, not the module. No Brainvire case is published as an Odoo Rental build on its own, and we will not imply otherwise.
GOWell Petro
Tracking equipment by hand from inventory to rental left asset records inaccurate, maintenance schedules missed and rentals posting late. Brainvire unified core operations on Odoo. The apps menu published with the case shows Rental, Subscriptions, Field Service and Maintenance installed.

Condo Rental Giant
A Tridel Group condominium rental provider running on disconnected units. Brainvire integrated its platform with Odoo ERP so every rental transaction posts without re-keying, made it compliant with Canadian taxation rules, and built reporting across the organization. The case records a fifteen percent surge in sales.

/ Comparison
Odoo Rental, or a dedicated rental platform?
Point of Rental starts ahead on the fleet itself. Odoo starts ahead on everything the hire touches once booked.
| Criterion | A dedicated rental platform | Odoo Rental |
|---|---|---|
| Per-unit asset lifecycle | Elite tracks asset value and depreciation, timing keep, fix or sell on ROI and age | Not in Rental, which never mentions serials. Identity sits in Inventory serial numbers and Maintenance equipment, joined to a hire only by a build |
| Servicing and availability | Preventive maintenance, repair orders and triggered inspections; a failed checkpoint raises a repair order | Security Time holds a product back a fixed number of hours. A maintenance request does not take it off hire |
| Telematics and GPS | Live GPS truck tracking, with meter hours feeding its analytics layer | Not shipped. The Odoo 18 documentation index has no entry for telematics, GPS or odometer |
| Several depots | Equipment viewed across multiple stores, with multi-location dashboards | Inventory warehouses move the stock once Rental Transfers is on. Cross-hire and rebalancing is a build |
| Where the ledger sits | Native links to QuickBooks, Sage, Xero and Dynamics, GL export for the rest | Already the same database. A rental order is a sales order, invoicing on its invoicing policy |
| Deployment and change | Cloud-hosted or self-hosted, with a documented API | Odoo.sh, your cloud or on-premise, changed in Studio on an Enterprise license |
Choose a dedicated rental platform if serialized lifecycle, service-driven availability, telematics and multi-branch logistics are the daily job. That is most plant hire, and Odoo Rental alone will not get you there. Choose Odoo if hire is one part of a business that also sells or services, and the order must reconcile with stock and the ledger. Brainvire does not resell Point of Rental; every claim in its column is from its own pages. Editions: Community versus Enterprise.
/ Questions we are asked
Odoo Rental FAQs.
Is Odoo Rental available in Odoo Community?
No. Odoo's editions page marks Rental unavailable in Community and available in Enterprise, alongside Subscriptions, Field Service and Studio. Inventory and Maintenance sit in both, so Community can hold the asset and its service history but cannot raise the rental order.
How does Odoo work out the price of a rental?
From the Rental prices tab, where you add a price line per period. Odoo then applies two rules: only one price line is used, and the cheapest is selected. It picks a single line and repeats it to cover the duration rather than adding periods.
Can Odoo charge for a late return?
Yes, through delay costs. Default Delay Costs are set once in the Rental app's settings and apply to late returns generally. Per product, the Reservations block adds a charge for each extra hour or extra day the customer keeps the item.
How do deposits work in Odoo Rental?
Not as a deposit ledger. Odoo's documented method is a service product named for the deposit, set to Delivered quantities and attached to the rental product as an Optional Product. On return, refund it by credit note and set the delivered quantity to zero.
Does a rental order become an invoice automatically?
A rental order is a sales order, so it invoices the way any Odoo sales order does. Each rental kanban card shows the related sales order number and an Invoice Status, and the draft invoice follows the invoicing policy set on the rental product.
Does Odoo Rental track individual units by serial number?
The Odoo 18 Rental documentation does not mention serial numbers or lots at all. Per-unit identity lives elsewhere: Inventory tracks goods by unique serial number, and Maintenance holds equipment records carrying serial number, model and warranty expiry. Joining either to a hire is a build.
What is the difference between Odoo Rental and Odoo Subscriptions?
Rental covers an asset that leaves and comes back on a dated order, priced by period, with a pickup and return to validate. Subscriptions covers recurring revenue, renewals and automated invoicing. The dividing line is documented: a recurring plan's billing period cannot be days.
Can Odoo schedule servicing between hires?
Not as a link between the two applications. Rental's only lever is Security Time, a fixed number of hours making a product unavailable between two orders, which the documentation suggests using where cleaning or maintenance is needed. A maintenance request does not take a product off hire.
Does Odoo move stock when rented kit is picked up?
Only if you turn it on. Rental Transfers is a setting that lets stock deliveries and receipts be used for rental orders. With it off, validating a pickup or return stamps the order Picked-up or Returned without raising a transfer. Which you want depends on the yard.
