Is Odoo a good fit for a professional services firm?
Yes, when the firm sells people’s time against contracts. Odoo puts CRM, Project, Timesheets, Planning, Sales, Subscriptions and Accounting on one database, so the hour worked, the hour sold and the hour invoiced are the same record, rather than three numbers that have to agree.
How does Odoo handle a retainer?
Through Sales, not a separate retainer module. Prepaid hours are a service product with the invoicing policy set to Prepaid/Fixed Price and the unit of measure set to Hours, invoiced up front while timesheets draw the balance down. Renewing retainers run in Subscriptions, which is Enterprise only.
How does Odoo work out what a job earned?
Every billable project carries an analytic account, and the profitability report on the project dashboard reads every record linked to it. Revenue and cost appear in three columns: expected, to invoice or to bill, and invoiced or billed. A timesheet appears on both sides of that report.
Can one Odoo database run several practices, offices or legal entities?
Yes. Each legal entity is its own company record with its own fiscal localization, and shared people or costs move through intercompany rules. Practices inside one entity are better handled as analytic accounts, because a practice rarely files its own accounts.
How do subcontractors and associates get handled?
As vendors, with a purchase side and a delivery side. Their hours arrive as vendor bills against the project, so cost sits on the same analytic account as revenue. Where the contract allows, that cost reaches the client invoice instead of the write-off.
Does Odoo replace our CRM as well?
It can, and on this kind of build it usually should. Keeping the pipeline in Odoo CRM is what lets an accepted quote open the project and its analytic account. A CRM you will not give up becomes an integration, and a permanent mapping cost.
What do clients see, and how?
Whatever you invite them to see. Portal access is granted per contact, so a client signs in to read their own projects, documents, quotations and invoices rather than emailing for status. Signed proposals and change orders sit against the work they govern, so scope is not an email thread.
What happens to work in progress at cut-over?
Open jobs move as open jobs. We load clients, contracts, open projects, unbilled time and opening balances into a test database, reconcile the unbilled position against the old system, then agree a cut-over date. Closed history usually stays readable where it is.
