A Customized Odoo ERP for Recruitment and Workforce Management.
A leading Abu Dhabi recruitment agency, established in 1993 and serving the oil and gas, real estate, transport, finance, and environment sectors, wanted to digitalize recruitment and automate its workflow. Brainvire built a customized Odoo solution that interconnects every department across recruitment, project, document, contract, leave, payroll, and invoice management, with a rotation shift system at its core.

Established in 1993, the client is a leading recruitment agency based in Abu Dhabi, UAE. It has unparalleled experience and comprehensive capability to recruit, hire, and manage employees across numerous industries, especially oil and gas. The group also operates in real estate, transport, finance, and the environment.
The client wanted to digitalize its recruitment process and automate its workflow. Brainvire ideated a customized Odoo solution that interconnects all departments and streamlines every process, from recruitment, project management, and document verification to contract, leave, payroll, and invoice management. A rotation shift system manages the work cycles and shift patterns of multiple teams, and the system generates dynamic reports on employee strength and efficiency.

Off the spreadsheets
Project records, employee details, timesheets, and leaves lived in manual Excel sheets, so the team streamlined and automated project management, recruitment, assignment, timesheets, payroll, and leave.
Rotation managed
Overstay and rotational shifts needed handling, so the team customized the application flow to manage overstay and rotational shifts in Odoo.
Automated in full
Leave, ESB, and overstay math was done by hand and uploaded, so the team automated the calculations and let reports be configured by project and contract.
Renewed on time
Loan and insurance documents were tracked manually with no renewal reminders, so the team compiled expiry histories and built automatic reminders for the concerned employees.

Transition from Excel to Odoo
The client managed project records, employee details, timesheets, and leaves in Excel, with data entry done manually. The team streamlined and automated project management, recruitment, employee assignment, timesheet management, payroll, and leave calculation.
Overstay and rotational shifts
An additional solution was needed to manage the overstay and rotational shifts of employees. Brainvire customized the flow of the application to manage overstay and rotational shifts in Odoo.
Complex calculations of leave, ESB, and overstay
All the calculations for leave, ESB, and overstay had to be done manually and uploaded into the system. The team automated the calculations and provided functionality to configure reports based on different projects and contracts.
Document management and renewal
Documents related to loans and insurance were managed manually, with no way to remind employees when they were due for renewal. The team compiled the expiry and renewal timelines and created a notification option that gives automatic reminders to the concerned employees.
