Project Management System, also known as PM Tool is a web based software as well as mobile based task management system which can be used by employees, managers as well as admin; with of course different logins for employees and admin/managers.

The web based project management system is divided into two parts on the basis of logins; employee login and admin login. Everyone can login by entering their credentials and manage their own account.

Admin provides login credentials to employees and as soon as employees log in into their accounts, they come across the dashboard where they can take a look over their own activities.

User can manage their profile by entering three types of information: account, project and contact. They can do it easily by clicking on edit button. All they need to do is enter their name, mobile number, office number, extension code and branch office. Once they enter the details, they can click on save and its done!

Employees can fill up the timesheet everyday to keep a note of the work done along with the amount of time taken to perform that particular activity. However, they have to do it daily and if they don’t fill it up for four days, the timesheet will get locked. So, they need to request manager to unlock it to continue filling it up. The total time should be not less than 8 hours. Employees are also allowed to view their timesheet details. All they need to do is select the ‘From’ and ‘To’ date and click on ‘Show Timesheet’ and they will get the list of details for those days.

Employees can also apply for leaves from this tool. Advanced leave entry is an interesting feature, wherein employees can fill the timesheet for the days he is on leave. He can do it easily just by selecting the date and entering the number of days from that date.

Like employees and managers, even admin will be navigated to dashboard as soon as he logs in into the account. He can view his own activities on dashboard and he can get access to department wise employee graph, total number of department graph and project in progress. Admin can get all the details on dashboard about the completed projects along with the duration, the efforts involved in project as well as the profit and loss graphs of project.

Admin can view add new user and delete the existing users. He can also view the list of all the users along with the details and edit the details as well. In addition to that, he can search any user by name as well as activate or deactivate users.

Admin can manage the department; he can add, remove, edit, view and sort departments as well as sub departments on the basis of the technology or domain expertise. Along with that, he can export the department details to CSV.

Admin can manage all types of report including department, project in progress, completed project and project cost report. Analytical reports include the results on the basis of deadline and quality of work.

Admin can manage profile by entering its basic information. All they need to do is click on edit button, enter the information and click on save button.

This is one of the most important elements in admin section, as admin can allow or disallow access on the basis of the role of the user.

In this section, admin can monitor the activities of users, right from the post, delete and master data setup to the work time and holidays.

They can create tasks as well as edit it for the better task management. Some of the most important fields for tasks and projects include Task Name, Task Type, Start Date, End Date, Creation Date, Assigned to, Owner, % of completion, Status, Priority, Revised End Date, Project and Actual Start Date. They can assign tasks to one or more people and each assignee can view the status and progress of his own task; they cannot see the status of the tasks assigned by another assignee. The assignee can also update the status and the re assigner can add all tasks.

This feature allows the managers to shift the schedule just with the help of a couple of clicks, and the software updates the project schedule automatically when the schedule changes.

The software also lets managers to manage the entire process right from assigning the projects and tasks to get the update after they are completed.

Effort analysis is all about finding out the time taken to complete particular task or project, on the basis of which the cost of the project is decided.

This software also helps in cost management. On the basis of work completed within deadline or not and other factors, the calculations are done to check whether the company is doing profit or loss.

This one is for new employees in the company. When the task or project is not assigned to them, they are kept on bench.

Managers can also keep track of the work done by filling up timesheet every day. They have to select the project and task to fill it and up, select the date and fill up the details along with the amount of time spent for each activity. If the selected date is not current date, and it is locked, they can send request to admin to unlock it.

The project progress reports clearly states how much work has been completed and how much work is pending in the project and that how much time will it take to complete that work.

Employee performance reports says it all about the work done by an employee, the number of projects he carried out, the time duration for each of them, his behavior with fellow colleagues and success or failure of the projects he has worked on.

Project Schedule Variance (PSV) is one of the most important parameters considered to analyze the progress of project, as it shows the performance in terms of schedule and cost. Completing project on time will help you avoid additional cost incurred for your project. The PSV report shows if the work is being done earlier or later than what was estimated.

Effort variance shows if the work is done by the estimated man power and time.

As the name suggests, profit/loss reports takes the estimated and actual man power and efforts into the consideration and calculates the schedule and cost variance to conclude if the project was profitable or loss for them.

The report shows the list of the on bench candidates to whom no task or project is assigned.


After the user logs in, he can see ‘Today’s task’ with some details in three columns; the first column will be project name, second column will be task name and third column will be the link to the sub task. On tapping the task name, user can see ‘assign to’ and ‘due date’ details for that task.

When user clicks on sub task link in the detailed task page, the new page gets opened showing the list of subtask unders that task.

There is an icon of ‘add task’ on the right side of the screen. Clicking on this icon, the user can add and assign task by filling up the details.

As soon as the user opens the application for the first time, the login page asking for username and password will appear. Once user enters the details, he will be allowed to use the app. The username and password will be saved in the database, authenticating the user to use the app next time without entering the details, unless user explicitly logs out.

The detailed task page shows Task Name, Project name, Task Description, Assign to, Due date of the Task, and a link to view Subtask(s) of that task.

When a user clicks on the particular subtask from the list, he can see the subtask details which has got the project name, task name and sub task name along with description, assign to and due date of sub task.

Users can also see the list of pending tasks on the respective page along in the same format as that of the ‘today’s task’ page.
