In addition, their massive business necessitates international travel from its staff members, which may be time-consuming and difficult for some. As a result, they sought the simplest route made possible by technology.
“Employees had to manually fill out a form with their spending data for the client’s travel expense management system. We have shifted to a paperless system for tracking their out-of-town costs. In addition, we are creating a web-based interface enabling customers to manage their travel costs online,” said Chintan Shah, CEO of Brainvire.
For business trips, the client requires the development of an online gateway. We presented the idea to the customer and demonstrated the smooth operation of the route for their business.
We supplied an initial cost estimate and asked for access to the client’s SharePoint server so that our engineers could begin setting up test accounts for the clientele.
We created a Business Request Form in Microsoft 365 to help them collect the data they need to handle travel requests and charges. We designed a system in which the client’s end-user or employee may enter their name, job title, department, travel destination, trip purpose, trip start and finish dates, number of hotel stays, and other essential information.
Upon receipt, the form will be sent to the employee’s “Line Manager” for review and approval and then to the “General Manager Or Director” for final approval. Once both parties have signed off on the paperwork, it will be sent on to the Travel Agency. An email interface will notify employees or users of the decision to approve or reject.
Staff members who have submitted expenditure reports will be informed of the decision about their information through email.
